Ovel EVV

For home care agencies and field teams

Prove every visit.
Pay every hour right.

Ovel EVV schedules your workers, verifies each visit with a GPS geofenced clock in, collects the worker's and the client's signature on the timesheet, and turns approved hours into payroll, invoices and claim files. Not five separate tools, one record from booking to payment.

No card. No setup fee. Demo logins are on the sign-in page.

How it works

From the schedule to the paycheck in five steps.

  1. 1

    Schedule

Book one-off or repeating visits and shifts. Conflicts, credentials and authorizations are checked when you book.

  2. 2

    Clock in with GPS

The worker taps clock in at the address. Time, position and distance from the geofence are recorded.

  3. 3

    Work and sign

Tasks ticked, a note written, and the client signs on the phone. The worker signs the weekly timesheet.

  4. 4

    Approve

The office clears exceptions with reason codes and approves timesheets. Every edit keeps the original.

  5. 5

    Pay and bill

Payroll with overtime worked out, invoices to customers, and claim and EVV files for payers.

The six EVV data elements

Every visit answers six questions.

The 21st Century Cures Act asks state Medicaid programs to verify these six things for personal care and home health visits. Ovel EVV records them on every visit, in every industry, because a customer asks the same questions about a cleaning job or a security shift.

Read the guide to EVV or check your own visit file.

1

Type of service

The service or procedure code on the visit, for example personal care.

2

Who received it

The client, with their member ID where a payer needs it.

3

Date

Stamped by the server, not typed by the worker.

4

Location

GPS position at clock in and clock out, inside or outside the geofence.

5

Who provided it

The worker, with a unique ID per company.

6

Start and end time

The clock in and clock out times, kept even when the office edits them.

Questions

Straight answers.

What is EVV?

Electronic Visit Verification is a record, made at the time of the visit, of who delivered which service to whom, where, on what date and from when to when. Federal law requires it for Medicaid personal care and home health visits, and each state runs its own program. Outside healthcare the same record proves to a customer that the work happened.

Is Ovel EVV only for home care?

No. It works for staffing, cleaning, security, construction, logistics, field services, retail, IT, tutoring, home services and professional services. You pick your industry when you sign up and the words change: caregiver or cleaner or officer, client or customer or site, visit or job or shift.

Do workers need to install an app?

No install. The worker app is a fast web page that opens on any smartphone from a link or a home-screen icon. Workers sign in, see today's schedule and clock in with one tap. GPS is read only at clock in and clock out.

How does the client sign the timesheet?

Three ways: on the worker's phone at the end of the visit, in the client portal, or from a signed link you send. The signature is stored with the name, time and a fingerprint of what was signed. If the office changes a signed timesheet, the signatures are cleared and it goes back for re-signing.

Can Ovel EVV send visits to my state's EVV aggregator?

Ovel EVV exports the six-element EVV visit data and claim files today. Live submission to a state aggregator and to a clearinghouse is our Care Connect plan, set up on request state by state, because each state certifies vendors separately. Check your state Medicaid agency's EVV page to see whether it allows an alternate vendor.

What does it cost?

Free for up to 5 workers. Team is $4 per worker per month (minimum $29). Care, with care plans, authorizations, units and claim files, is $8 per worker per month (minimum $79). Clients and office users are free, and there are no per-visit or setup fees.

Is there a demo?

Yes. The live demo has a fictional company with workers, clients, visits, timesheets, payroll and invoices. The demo logins are shown on the sign-in page. It resets every night, so do not enter real information.

Your next payroll, from verified hours.

Set up your company, invite five workers and run a week of visits free. Bring the whole team when it works for you.
