Ovel EVV

Features

Everything from the booking to the paycheck, on one visit record.

Not a time clock plus a spreadsheet plus a billing tool. One record per visit that scheduling, verification, signatures, payroll and billing all read from, so nothing is typed twice.

Plan the work

Scheduling

One-off and repeating visits or shifts, generated ahead on a rolling basis. A calendar board by day and week, open shifts that workers can pick up, and checks at booking for double bookings, expired credentials and authorizations that would run out.

  • Repeating schedules (weekly, every other week, custom days)
  • Open shifts with worker pick-up and office approval
  • Conflict, credential and authorization checks when you book
  • Late and missed visit alerts within minutes

Care plans and task lists

A plan per client with goals and tasks: bathing and meals for home care, a checklist for cleaning, post orders for security, a scope of work for construction. Tasks show on every visit and the worker marks each one done, refused or not needed.

  • Required tasks that must be answered before clock out
  • Review dates so plans are kept current
  • Task results on the visit record and in the client portal

Verify the visit

EVV clock in and out with geofence

The worker taps clock in at the address. Ovel EVV records the time from the server, the GPS position and its accuracy, and the distance from the client's geofence. The same happens at clock out. Location is read only at those two moments, not during the visit.

  • Geofence radius per client or site
  • GPS accuracy stored with every position
  • Office entry for a forgotten clock in, always with a reason code
  • All six EVV data elements on every visit

Exceptions with reason codes

Anything unusual becomes an exception for the office: clock in away from the address, no GPS, late arrival, early departure, missing clock out, a visit much shorter or longer than scheduled, unscheduled visits, over the authorization, required tasks missing.

  • Resolve with a reason code: forgot to clock in, no signal, schedule change and more
  • The original verified times are kept beside every edit
  • Manual visits are listed separately for audit

Progress notes

A note on every visit: a progress note in home care, a shift report in security, a daily log in construction. Supervisors review notes, and you choose which notes the client can read.

  • Notes tied to the visit and the worker
  • Shared or office-only per note
  • Searchable history per client

Sign and approve

Timesheets with worker and client e-signatures

Weekly timesheets are built from verified visits. The worker signs in the app. The client signs on the worker's phone, in the client portal or from a signed link. Each signature is stored with the signer, time, device and a fingerprint of what was signed.

  • Signature status board: who still has to sign
  • Send back for re-signing with a reason: all signatures are cleared
  • Any change to a signed timesheet clears its signatures
  • Print or save each timesheet as a PDF

Pay and bill

Pay rule engine

Rates by default, by service, by worker, by worker and service, or by client. Weekly overtime after 40 hours, optional daily overtime and double time, a 1.5 multiplier, and the blended (weighted average) regular rate when a worker has several rates in a week. Holiday premiums and a mileage rate per mile.

  • Overtime method: blended rate or standard
  • Daily overtime off by default, on for states that use it
  • Every rule is a setting with its formula shown

Payroll runs and exports

A payroll run for any period from approved timesheets: regular, overtime and double-time hours, gross pay and a per-service breakdown for every worker. Export a plain CSV, an Excel-ready file, or an import file for the major payroll products. Workers see their pay statements in the app.

  • Runs from approved timesheets only
  • Import files for the major payroll products
  • Pay statements in the worker app

Payers

Payer profiles for Medicaid, Medicaid managed care, Medicare, Medicare Advantage, private insurance, the VA, long-term care insurance and private pay. Each payer keeps its electronic payer ID, claim format, unit size and rounding rule.

  • Unit size and rounding rule per payer
  • Contacts and claim format per payer

Authorizations and units

Per client, payer and service: the authorization number, procedure code and modifiers, units per week, month or in total, and the start and end dates. 15 minutes is 1 unit by default. Utilization shows scheduled, used and remaining units, with alerts before expiry and when a visit would go over.

  • Units from verified minutes with the payer's rounding rule
  • Alerts before an authorization expires or runs out
  • Utilization report per client and payer

Invoices and claim files

Private-pay invoices from approved visits, with a public link for the customer to view. Claims per payer from verified visits with procedure codes and units, exported as an 837P-style file and a CSV for your clearinghouse or biller. Record payments and denials.

  • Invoices from approved visits, nothing typed twice
  • 837P-style and CSV claim exports
  • Payments, denials and ageing

EVV data export

Export verified visits with the six EVV data elements, reason codes and edit history in a standard layout for a state aggregator or an auditor. Live submission to a state aggregator, which needs state certification, is part of the Care Connect plan on request.

  • Six elements, reason codes and manual edit history
  • Date range and payer filters
  • Live aggregator submission on request (Care Connect)

Stay in touch

Messages

Threads between the office and a worker, a client, or everyone at once for announcements. Unread counts in all three portals, with an email or text nudge.

  • One thread per person or group
  • Announcements to all workers

Client portal

Clients, family members and customer contacts see upcoming and past visits, who is coming, tasks done, shared notes, timesheets to sign, invoices and messages. They join with your company code and you approve them.

  • Sign timesheets online
  • See invoices and shared notes
  • Free for every client

Worker app

A fast web app for any smartphone, no store install: today's visits, one-tap clock in and out, the task list, notes, timesheets to sign, open shifts, messages and pay statements. Workers join with your company code or an invitation.

  • Works on iPhone and Android in the browser
  • Add to the home screen like an app
  • Forgot password on every portal

See and protect

Reports

EVV compliance (verified rate and exceptions by type), hours audit, weekly hours per worker, authorization utilization, payroll summary, billing and ageing, and credentials about to expire. Every report exports to CSV and prints.

  • Dashboard: today's visits by state
  • Weekly hours to spot overtime early
  • CSV and print for every report

Security and access

Every company's data is kept apart. Roles for owner, scheduler, supervisor, payroll, billing and viewer decide who can see and change what. Edits to visits keep an audit trail, uploads are checked and stored privately, and signatures carry a fingerprint of what was signed.

  • Role-based permissions
  • Audit trail on visit edits and signatures
  • Private file storage, encrypted connections
  • Healthcare customers sign a business associate agreement before storing health information
